Please read our terms and conditions (T&Cs) carefully, they contain important information about our responsibilities and your rights and obligations.
Services
Diagnostic Scans for adults and paediatrics (young children and babies):

We work in partnership with Nutritionists, GPs, Fertility Clinics, Laboratories and Physiotherapists who offer guided injections and procedures for effective pain management and healing
Our highly qualified and experienced sonographers and paediatric consultant radiologist will discuss any immediate findings with you, and the report and images will be emailed to you on the same day. Any necessary recommendations for further investigations or follow-ups will be advised verbally and included in the report.
Arriving For Your Appointment
Patients should arrive 5 to 10 minutes before their actual appointment time as it may not be possible to scan if they are late, resulting in their payment being forfeited as per our payment and refund policy.
Booking Your Appointment
To book your appointment, please go to https://ultrasounddiagnostic.co.uk/. Please ensure you read through the various scans we offer, as this will enable you to book the correct scan. If unsure, you can email us at admin@ultrasounddiagnostic.co.uk or give us a call on 0121 392 3112.
We will send you a confirmation email of your booking with the date, time, location, instructions, arriving times, payment terms and conditions, our cancellation policy, consent form and compliments and complaints procedure, at which point a contract will come into existence between you and us.
We will require certain information from you in order to provide our services. This is outlined in the appointment confirmation email we send on confirmation of your booking. If you do not provide us with this information prior to your appointment, or the information is incomplete or incorrect, we cannot carry out the services and will end the contract, and our payment terms of conditions will apply. We will not be responsible for providing the services later, or any part of this information is not supplied within a reasonable time of us asking for it.
If we cannot accept your booking or must reschedule your booking due to unforeseen circumstances, we will inform you of this. We will not charge you for any services not undertaken for these reasons.
We are not responsible for delays outside our control. If our supply of the services is delayed by an event beyond our control, we will contact you as soon as possible to inform you of this and will take necessary steps to minimise the effect of the delay. Provided we do this, we will not be liable for delays caused by the event, but if there is a risk of substantial delay, you may contact us to end the contract and receive a refund for any services you have paid for but not received.
Prices And Payment Terms For Our Services
The prices for the various scans we offer are on our website under prices https://ultrasounddiagnostic.co.uk/
- We accept Visa Debit, Credit Cards, Cash, Bank Transfer, Master Cards and Western Provident Association (WPA) Health Insurance. Full payment is required upon appointment booking. If you pre-book your appointment and do not wish to make a full payment at the time of booking, a non-refundable deposit of £30 is required.
- Cancellations made over 48 hours in advance receive a 50% refund. Refunds are processed in 7 to 10 working days. No refund for same-day cancellations, missed appointments or cancellations within 48 hours.
- You can reschedule your appointment once, at any time.
- If we cancel your appointment due to any unforeseen circumstances, we will contact you to reschedule your appointment within 24 hours, or we will offer a full refund.
Our Rights To Make Changes
Suspension Of Services To You
We may need to suspend our services to you in order to reflect changes in relevant regulatory requirements; to make improvements as requested by you or notified by us to you, to implement any minor technical adjustments or to undertake any major changes which may require temporary closure.
We will notify you in advance and offer to book you the next available appointment prior to the changes taking effect, unless the problem is urgent or an emergency. We will refund any sums you have paid in advance for the services that we have been unable to provide.
We may also suspend the provision of the services and end the contract if you do not pay. If you do not pay for the services when you are supposed to, as per our payment terms and conditions, or you still have not made payment within 7 days of us reminding you that payment is due, we may suspend provision of the services until you have paid us the outstanding amounts. We will contact you to inform you that we are suspending the provision of the services or ending the contract.
Your Rights To End The Contract
You can end your contract with us. Your rights when you end the contract will depend on what services you have paid for, whether there is anything wrong with the services, how we are performing and when you decide to end the contract:
- If what you have paid for is mis-described, you may have a legal right to end the contract (or to get the service re-performed or to get some or all your money back)
- If you want to end the contract because of something we have done or have told you we are going to do, you have the right to withdraw your consent as per our consent policy.
- If you have just changed your mind about the services, you may be able to get a refund if you are within the cooling-off period stated under PRICES AND PAYMENT TERMS FOR OUR SERVICES.
Ending Your Contract
Ending the contract because of something we have done or are going to do.
If you are ending a contract for the reasons set out below, the contract will end immediately and we will refund you in full for any services that have not been provided.
The reasons for ending the contract are:
- We have informed you about an error in the price or description of the services you have booked, and you do not wish to proceed.
- We have informed you about an upcoming change to the services or if it is these terms which you do not agree to.
- We have suspended the provision of the services for technical reasons or notify you we are going to suspend them for technical reasons.
- There is a risk that provision of the services may be significantly delayed because of events outside our control.
- You have a legal right to end the contract because of something we have done wrong.
When you don’t have the right to change your mind.
You do not have a right to change your mind in respect of services, once these have been completed, even if the cancellation period is still running.
Ending the contract where we are not at fault and there is no right to change your mind.
Even if we are not at fault and you do not have a right to change your mind, you can still end the contract before it is completed, but you may have to pay us compensation. A contract for services is completed when we have finished providing the services and you have paid for them. If you want to end a contract before it is completed where we are not at fault and you have changed your mind, just contact us to let us know. The contract will end immediately, and we will refund any sums paid by you for services not provided but we may deduct from that refund (or, if you have not made an advance payment, charge you) £50 as compensation for the net costs we will incur as a result of your ending the contract.

How we will refund you
We will refund you the price you paid for the services by the method you used for payment. However, we may make deductions from the price, as described below.
When your refund will be made
Changed your mind - we will make any refunds due to you within 7 to 10 working days.
Cancellation Fee - if you cancel your appointment, we will refund as per our PRICES AND PAYMENT TERMS FOR OUR SERVICES stated above in these terms and conditions.
Withdrawal of our services - We will contact you at least 7 days in advance to inform you that we are going to withdraw the provision of our services, unless in the case of an emergency. We will refund any sums you have paid in advance for services not provided.
Personal Information
Universal Ultrasound Diagnostics LTD is registered with the Information Commissioner’s Office (ICO) which allows collection and processing of personal data i.e., collection of personal information in person, via email, phone or through UUD websites such as referral forms.
How We Use Your Personal Information
We will use your data to provide services and the data will be handled and stored according to any laws or regulations we are subjected to such as The Data Protection Act and General Data Protection Regulation 2018.
Requesting For Your Information We Hold And Your Rights
We comply with the Freedom of Information Act 2000 and therefore you can request for any information we hold about you such as images, reports and your patient records in writing to the address provided below. The information will be provided within 28 days of receiving a written request.
You can also request that we erase any personal data we hold about you. You have the right to ask us to stop using your personal information. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Who We Share Your Personal Informatiion With
Your personal information will be shared with other healthcare providers to enable continuation of care such as treatments or further tests. We are obliged to share your information with the police for the purposes of investigating a crime, in a medical emergency or for any legal proceedings according to the law.
We may share information where we believe that the disclosure is necessary to establish the threat of and prevent or respond to fraud, defend our websites or infrastructure against possible attacks or protect the property and safety of UUD, our Patients, Suppliers or the public.
UUD may transfer personal data outside the UK and the European Economic Area according to General Data Protection Regulation 2018. If this is the case, we will ensure appropriate safeguards are in place to protect your personal information.

UUD manages and retains your personal data in accordance with the UUD’s health records retention policy which complies with the Data Protection Act 1998.
Where We Collect Your Personal Information From
We will collect personal information about you from various sources including:
- Information given to us on referral forms, when you talk to us in person, over the phone, via email or through the device you use and when new services are requested.
- Information about incidents, complaints and patient feedback
- Information you give us when you make a payment to us
The law gives you several rights in relation to your personal information including:
- The right to access the personal information we have about you. This includes
information from referral forms, patient’s records, correspondence, and images. - In certain circumstances we may also share information in relation to criminal
convictions or in an emergency, but we will only do this where we are allowed by
law. - The right to compel us to correct personal information that is wrong or incomplete.
Liability
Certain abnormalities may not be detected on an ultrasound scan or visible at the time of the scan. This is a well-known factor in the healthcare industry, therefore, we will not be held liable for any abnormalities that are picked up later in the pregnancy or when the baby is born or any abnormalities found on future diagnostic ultrasounds or through further testing.
Please note that an ultrasound scan alone cannot be used to diagnose disease or cancer and must be used in conjunction with other diagnostic tests.
The Harms And Limitations Of All Screening Include:
All screening can do harm as well as provide benefits. Good screening does more good than harm.
Screening tests are not 100% accurate and do not provide a diagnosis. Tests may not always provide reliable or clear-cut answers. They can lead to false reassurance, false alarms, and the discovery of uncertain findings.
False positive results are inevitable in screening. This occurs when a screening test indicates a possible condition, but subsequent tests confirm there’s no issue. This can cause undue anxiety and necessitate additional tests and investigations, which may pose risks of complications.
False-negative results are also inevitable in screening. This is when a condition either currently exists or is imminent, yet the test outcome appears as normal. Consequently, individuals might be falsely reassured and could overlook potential signs or symptoms later on, assuming that everything is well. This may result in delays in both diagnosis and treatment.
Screening can result in overdiagnosis and overtreatment, whereby conditions are detected that would not have posed a problem during an individual’s lifetime but, once identified, necessitate treatment. Consequently, individuals undergo unnecessary treatment, sometimes experiencing complications from medications or surgical procedures.
Health And Safety
Our obligation under the Health and Safety at Work Act 1974 is to ensure we provide a safe environment for our patients and staff. We have policies in place which our staff must adhere to. If you are injured as a direct result of the negligent actions on our part, we will take full responsibility where the injured party has undoubtedly proven our negligence.

What Happens If You Are Not Happy With Our Services?
Complaints regarding Universal Ultrasound Diagnostics’ services can be made in writing or verbally via our website link: https://ultrasounddiagnostic.co.uk/complaints-procedure. Complaints should be raised within 3 months of the scan being performed, or event or of becoming aware of the concern. We may consider complaints that are made after this time frame, where there is a good reason for the delay and where it is still possible to investigate the matter effectively and fairly. We will acknowledge your complaints in writing within 48 hours (2 working days) of us receiving the complaint and this will give details of the next steps to be taken. Complaints will be investigated thoroughly, and action will be taken where failures are found.

Other Important Terms
Nobody else has any rights under this contract. This contract is between you and us. No other person shall have any rights to enforce any of its terms.
You need our consent to transfer your rights to someone else. You may only transfer your rights or your obligations under these terms to another person if we agree to this in writing..
If a court finds any part of this contract illegal, the rest will continue to be enforced. Each of the paragraphs of these terms operates independently. Should any relevant authority or any court decide that any of the terms and conditions are unlawful, the remaining paragraphs will remain in full force and effect.
Even if we delay in enforcing this contract, we can still enforce it later. If we do not insist immediately that you action anything that you are required to under these terms, or if we delay in taking steps against you in respect of your breaking this contract, that will not necessarily mean that this contract is no longer applicable and will not prevent us taking steps against you later.
Which Laws Apply To This Contract And Where You May Bring Legal Proceedings
These terms are governed by English law, and you can bring legal proceedings in respect of our services in the English courts. If you live in Scotland, you can bring legal proceedings in respect of our services in either the Scottish or the English courts.
